Regulations of the educational offer of the Warsaw Ghetto Museum
§ 1
General provisions
- These Regulations define the rules for reservations, sales and participation in educational services organized by the Warsaw Ghetto Museum, hereinafter referred to as the "Museum".
- The regulations apply to the organization and implementation of: city walks, seminars for teachers
and guides, guide courses and museum lessons. - The regulations specify the rules for reservations, payments, participation and filing complaints.

- Making a reservation or participating in an event organized by the Museum constitutes acceptance of the provisions of these Regulations.
- The Museum reserves the right to make changes to the educational services offered, including changes
in the program, dates, and method of event implementation. Information about any changes will be made available on the Museum's website. - Minors participate in the event under the sole responsibility of the persons supervising them.
§ 2

- Museum – Warsaw Ghetto Museum.
- Educational Event or Service – city walk, seminar for teachers
and guides, a guide course or a museum lesson organized by the Museum. - Participant – a person using an educational service.
- Purchaser – an individual or institution making a reservation for a given educational service.
- organized group – a group of participants registered by an institution, organization or private individual.
§ 3
City walks for schools and other organized groups
- You can book a guided city walk by sending an email to: spacery@1943.pl.
- The reservation should include: contact details of the ordering party (name and surname, contact number), name of the institution (if applicable), number of participants, preferred event date, language of the service.
- The walks are conducted in Polish or English.
- Booking a guide is possible subject to availability, except for walks whose dates are announced by the Museum in accordance with paragraph 9 below.
- In the case of paid walks, the reservation is confirmed after payment.

- The maximum number of participants per tour is 25. In exceptional cases, larger groups may be possible, subject to prior arrangement with the Museum.
- The guide has the right to shorten, change the route or cancel the tour in the event of:
a) the group is more than 15 minutes late from the scheduled starting time,
b) unforeseen circumstances in public spaces, e.g. street closures, city events, security threats or bad weather conditions. - The museum announces planned tours on its website and social media. Individual tours can also be arranged upon request.
- In case of booking participation in the city walk by schools (both public
and non-public), no fees are charged and the service is free of charge. - School walks entitled "In the Footsteps of the Warsaw Ghetto" are carried out in accordance with the current Polish language and history curriculum.

§ 4
Walking tours of the former Warsaw Ghetto
- The museum organizes tours of the former Warsaw Ghetto, which are open to the public.
- The museum provides information about planned walks on its website and on social media, including dates and route information.
- Participation in the walks is free of charge.
- The Museum may require prior reservation of a space to participate in the tour. Reservations are made in the manner specified in §3, Section 1 of the Regulations.
- Participation in the walks around the former Warsaw Ghetto is not recommended for persons under 12 years of age.
§ 5
Rules for participation in city walks and walks around the former Warsaw Ghetto
- Participants are obliged to follow the instructor's instructions.
- The museum is not responsible for the health and property of walk participants.
Each participant takes part in the walk at their own risk. - The Museum may cancel an event in the event of force majeure, including: security threats, bad weather conditions or decisions of public authorities.
- In such a case, participants are entitled to a refund of the fee paid or the opportunity to set a new date for the event.
- Participants should be prepared for various weather conditions (e.g. heat, rain), wear comfortable footwear, and be aware that architectural barriers such as stairs may appear along the route.
- Participants are required to respect memorial sites, observe safety regulations in public spaces, and not disrupt the walk. If these regulations are violated, the leader may remove a participant from the group.
- In the case of city walks organized for school groups, the group leader is responsible for the conduct of participants. In the event of inappropriate behavior, the leader has the right to interrupt the walk.
§ 6
Seminars for teachers and guides
- Seminars for teachers and guides are intended for primary and secondary school teachers, as well as academic teachers and guides – detailed information is provided in each seminar announcement.
- To participate in the seminar, please fill out the registration form
on the Museum's website. - The Museum allows for the possibility of changing the application acceptance formula, which will be communicated
on the website. - Submitting an application does not guarantee a place reservation.
- The Museum determines the criteria for admission to each seminar on a case-by-case basis. The criteria specified
are in the recruitment announcement. - If all available spaces are filled, the Museum may create a waiting list.

- The Museum may specify a minimum number of participants necessary to hold a seminar.
- If the minimum number of participants is not reached, the Museum reserves the right
to cancel or reschedule the seminar. In the event of a change in the seminar date, participants have the right to withdraw and receive a refund of the fee paid. - Information about the cancellation of the seminar is communicated to participants electronically.

- Participants can receive a certificate of participation in the seminar. This certificate is issued upon request.
- The condition for receiving a certificate is presence at the entire event.
- The Museum reserves the right to cancel the event, change the program, time frame, or format of the seminar. Information about changes will be communicated to participants electronically or by phone and published on the Museum's website.
- The cost of accommodation and travel for seminar participants may be covered by the Museum.

§ 7
Guide courses
- The museum organizes guide courses aimed at substantive preparation
and methodological for people interested in guided tours of the permanent exhibition of the Warsaw Ghetto Museum. - Information about the dates of guide courses is published on the Museum's website.
- The course is open to persons aged 18 and over.
- Registration for the course takes place via the application form published together with the course recruitment announcement.
- Admission to the course is based on meeting the criteria set out in the offer on the Museum's website.
- The museum may determine the maximum and minimum number of course participants.
- If the minimum number of participants is not reached, the Museum reserves the right
to cancel the course or change its date. - Participation in the course is subject to payment in accordance with the Museum's current price list. Participation in the course is contingent upon payment by the deadline specified by the Museum.
- Course meetings can be held in a hybrid format (on-site and online)
- The conditions for completing the course and obtaining a guide certificate are:
A) participation in at least 80% of classes,
B) obtaining a positive result in the final examination. - Detailed information about the course program, class schedule, and meeting format
and the rules for conducting the examination are specified in the course program published on the Museum's website. - Completing the course and obtaining a certificate gives you the opportunity to tour the permanent exhibition of the Warsaw Ghetto Museum under the terms and conditions set by the Museum.
- Obtaining a guide certificate does not guarantee employment at the Museum.
nor with a guarantee of cooperation with the Museum as a guide. - The guide certificate entitles you to free admission to the Museum exhibitions.
- Guide certification requires renewal every two years by participating in the recertification process organized by the Museum.
- The Museum reserves the right to change the course program, class schedule, form of meetings or presenters.
- In the event of absence exceeding the permitted limit or violation of the participation rules, the Museum may remove the participant from the list of course participants.
- The teaching materials provided to course participants are intended solely for their personal use and may not be distributed without the Museum's consent.
- The rules and costs of participation in the course for Museum volunteers and educators are determined separately by the Museum and communicated to participants before the start of the course in the recruitment announcement for a given edition of the course.

§ 8
Obligations of event participants
- The Museum prohibits smoking tobacco or e-cigarettes, etc. during the event, as well as bringing and consuming alcohol and other psychotropic substances onto the event premises.
- The Museum will refuse the right to participate in a Walk, Seminar or Guide Course:
1) unregistered persons (unless registration for a given event is not required),
2) a person who is visibly under the influence of alcohol, narcotics, psychoactive substances or other similar substances,
3) a person possessing a weapon or other dangerous objects, explosives, pyrotechnic products, fire-hazardous materials, alcoholic beverages, narcotics or psychoactive substances,
4) a person behaving aggressively, provocatively or otherwise posing a threat to public safety or order. - In case of noticing a threat to the life and health of Participants, the Participant is obliged to immediately inform the Museum or the relevant services responsible for
for safety and order. - Event participants are obliged to comply with all other instructions of the Museum, especially those directly related to the need to ensure the safety of participants.
- Event participants are obliged to behave in a way that does not endanger the safety of other people present at the event, and in particular to comply with the provisions of the Regulations.
- The participant is fully liable for damages to property or
on Museum staff members (employees and collaborators), caused by them or persons under their care. The Participant is also liable to other Participants to the same extent as above.
§ 9
Museum lessons for schools
- Museum lessons are free.
- Museum lessons are conducted at the institution ordering the classes.
- You can book a lesson by sending an email to: spacery@1943.pl.
- The reservation should include: the contact details of the Ordering Party (name and surname, contact number), the name of the institution, the number and age of participants, the preferred date of the event, and the chosen lesson topic.
- The educational offer of museum lessons (topics) is published on the Museum's website.
- Museum lessons are aimed at primary and secondary school students.
- The topics of the classes are adapted to the age of the participants and to the core curriculum of the appropriate levels of education.
- The maximum number of participants in a group is agreed on each occasion between the Museum and the school where the classes are to be held.
- The group leader is obliged to accompany the participants during the classes and is responsible for their behaviour.
In order to adapt the course of classes accordingly, the group leader may voluntarily inform the Museum about special needs of students (e.g. resulting from
disability or neurodiversity), provided that there is an appropriate legal basis for this, including prior notification of the students' parents or legal guardians about the transfer of such information to the Museum. - The institution ordering the classes is obliged to provide appropriate local conditions enabling the museum lesson to be conducted.
- Museum lecturers meet the conditions set out in the Act of 13 May 2016.

§ 10
Payments
- Fees are charged in accordance with the price list published on the Museum's website.
- Payment for the Service is made by the Ordering Party by bank transfer to the bank account indicated by the Museum in the e-mail confirming the reservation.
- Payment should be made within a maximum of 3 business days of receiving the email from the Museum confirming the reservation.
- Failure to make payment within the above deadline will result in the reservation being cancelled.
- The Museum documents the sale of services by issuing a VAT invoice in accordance with
with applicable legal provisions. - In order to issue a sales document, the Ordering Party is obliged to provide the data necessary for its issuance.
- Details for issuing an invoice are provided by e-mail when making a reservation or by completing the form constituting Annex 2 to the Regulations.
- Providing the data necessary to issue an invoice is a condition for providing the service.
§ 11
Fee exemption
- In justified cases, the Museum may exempt a given participant from the fee due.

- The decision to waive the fee is made by the Museum Director or a person authorized by him.
- The decision referred to in the preceding paragraph may not be appealed against.
§ 12
Cancellation of reservation
- The ordering party may cancel the reservation of a city walk without incurring any costs no later than 5 business days before the planned date of the event.
- If the reservation is cancelled after this date, the fee is non-refundable.
- Fees for seminars and guide courses are non-refundable, except in the event of cancellation by the Museum.
- The absence of participants or their lateness exceeding 15 minutes, without prior notice to the instructor, does not constitute grounds for a refund.
- Cancellation of reservation should be reported by e-mail to the following address: spacery@1943.pl.
- Refunds are made to the Ordering Party's bank account from which the payment was made.
§ 13
Claims
- Complaints can be submitted by e-mail to the following address: spacery@1943.pl
- The complaint should include a description of the reason for the complaint.
- Complaints are considered within 14 days of their receipt by the Museum.
- If the complaint is accepted, the Participant is entitled to a refund of all or part of the fee paid, or the possibility of participating in the event, depending on the situation and the Participant's request.

§ 14
Personal data protection
- The Controller of your personal data is the Warsaw Ghetto Museum, located at 39 Zielna Street, 02-520 Warsaw. You can contact the Controller in writing:

for teachers, guide courses, museum lessons), based on: - Article 6 paragraph 1 letter b of the GDPR – processing is necessary for the performance of the contract (participation
in the event under the conditions specified by the organizer), - Article 6(1)(c) of the GDPR – processing is necessary to fulfil the legal obligation incumbent on the controller resulting from the provisions on the activities of cultural institutions, maintaining organisational and reporting documentation, and tax and accounting regulations,
- Article 6, paragraph 1, letter a of the GDPR – in the case of expressing separate, voluntary consent to receive information about the Museum's events and offers (newsletter) and expressing consent
to disseminate the image for promotional purposes, - Article 6(1)(f) of the GDPR – in order to pursue the Controller’s legitimate interest in documenting the course of events for internal, archival and reporting purposes and for the possible pursuit of claims or defense against them.
- Personal data will be processed until the event is concluded and its organizational and financial settlement is completed. After that time, they may be stored for the period required by regulations on archiving documentation of public institutions' activities.
In the case of data processed on the basis of consent (e.g. publication of an image), they will be processed until the consent is withdrawn. - Providing data is voluntary, but necessary to participate in the educational service
and issuing a sales document. Failure to provide data will prevent registration and participation
and billing for the service. - The recipients of your data may be: entities authorized under the law, entities providing organizational, technical and IT services to the Controller, e.g. event management system providers, companies supporting the organization of events.
- Personal data will not be transferred to third countries or international organizations.
- In connection with the processing of personal data, you have the following rights:
- the right to access your data and receive a copy thereof (Article 15 of the GDPR),
- the right to request rectification of data (Article 16 of the GDPR),
- the right to request the deletion of data ("the right to be forgotten") – in the cases specified in Article 17 of the GDPR,
- the right to request restriction of data processing (Article 18 of the GDPR),
- the right to data portability (Article 20 of the GDPR),
- the right to object to data processing – only in situations where the processing is based on Article 6(1)(e) or (f) of the GDPR (Article 21 of the GDPR).
the right to object is not available when data are processed on the basis of Article 6(1)(b) or (c) of the GDPR. - the right to withdraw consent at any time (in relation to data processed on the basis of Article 6(1)(a) of the GDPR, e.g. image), without affecting the lawfulness of processing based on consent before its withdrawal.
- If you believe that the processing of your personal data violates the provisions of the GDPR, you have the right to lodge a complaint with the President of the Personal Data Protection Office.
- Your personal data will not be subject to automated decision-making,
including profiling referred to in Article 22 of the GDPR.
§ 15
Documentation of events
- The Museum informs that the course of events may be recorded in the form of photographic, film and audio documentation for documentation, information, reporting and promotional purposes related to the activities of the Museum, as well as
with the organization and implementation of a given event. - The recorded materials may be used in particular to document the activities of a public institution, to provide information on the activities carried out and to present the effects of the use of public funds allocated to the organisation of the Event.
- These materials may then be disseminated by the Museum, in particular
on websites, in social media, in information materials
and promotional materials, publications, reports and other materials relating to the statutory activities of the Museum. - The recording and dissemination of the image of the event participants is carried out in accordance with
with the provisions of the Act of 4 February 1994 on copyright and related rights. - Participation in the event is voluntary. Anyone who chooses to participate acknowledges that the event is public and will be documented as described above.
- A template for declarations of voluntary consent (including, among others, the dissemination of the image and receiving information about the Museum’s events and offers electronically), in cases where event participants are asked to provide it, is set out in Annex 3 to the Regulations.
§ 16
Miscellaneous
- The regulations are available on the Museum's website.
- The Museum is not responsible for any incorrect or false data provided by a participant when registering for a given event.
- The Museum is not responsible for the participant's belongings that may be lost, destroyed or stolen during the event, left in places other than those guarded by the Museum or an entity designated by the Museum, cloakrooms or depositories,
where, when items are left, a deposit receipt or a number is issued entitling the holder to collect them. - The Museum assures that it will make every effort to guarantee the organizational conditions of the event as described on the event website or in the announcement about the given event.
- Changes to the event program cannot constitute grounds for any claims, including financial claims, against the Museum.
- The Museum reserves the right to change the Regulations.
- The changes come into effect on the date of publication on the Museum's website.
- The Regulations apply from the date indicated in the Order of the Museum Director introducing the Regulations.
